Valhista Privacy Policy

Valhista LLC (“Valhista,” “we,” “us,” or “our”) operates the Valhista service, including our website, applications, and related asset tracking, organization, and valuation features (collectively, the “Service”).

This Privacy Policy explains what information we collect, how we use and protect it, when we share it, and the choices you have regarding your information.

By using the Service, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

We collect information you provide directly to us, information generated through your use of the Service, and information processed by third-party service providers on our behalf.

When you create or maintain a Valhista account, we may collect:

Asset and Inventory Information

When you add items to your Valhista inventory, we may collect and store information such as:

  • Photos and images
  • Item descriptions

  • Purchase information or receipts you choose to upload

  • Estimated or reported values
  • Locations or storage locations you choose to associate with an item
  • AI-generated information about an item

You are responsible for ensuring that you have the right to upload information and images to Valhista.

Property Information

If you use Valhista’s property-related features, you may provide information including:

  • Property addresses
  • Property values
  • Square footage
  • Acreage
  • Property characteristics
  • Other information you choose to provide about a property

Usage and Technical Information

We may automatically collect information about how you interact with the Service, including:

  • Features used
  • Pages or screens viewed
  • Device and browser information
  • Approximate technical information necessary to operate the Service
  • Error reports and diagnostic information
  • Authentication and session information

We use this information primarily to operate, maintain, secure, troubleshoot, and improve the Service.

2. How We Use Your Information

  • Provide features related to insurance documentation and organization
  • Process subscriptions and payments
  • Provide customer support
  • Communicate with you about your account, subscriptions, security, and important Service updates
  • Detect, prevent, and investigate fraud, abuse, unauthorized access, or other security issues
  • Maintain and improve the Service
  • Comply with applicable legal obligations

Valhista’s valuations and estimates are provided for informational purposes only and should not be treated as guaranteed appraisals, insurance coverage determinations, financial advice, or guarantees of an item’s future sale price.

3. AI and Image Processing

Valhista uses artificial intelligence and machine-learning technologies to provide certain features of the Service.

When you upload an image, description, or other information for an AI-powered feature, that information may be transmitted to third-party technology providers that process information on Valhista’s behalf.

AI processing may be used to:

  • Identify objects and items
  • Extract information from images
  • Suggest item categories
  • Analyze apparent condition
  • Identify potentially relevant characteristics
  • Generate estimated market values
  • Generate property-related estimates
  • Improve the presentation and organization of information within your inventory

AI-generated results may be inaccurate, incomplete, or incorrect. You should independently verify important information before relying on it for insurance, financial, legal, purchasing, selling, or other significant decisions.

Valhista does not sell your uploaded images or personal inventory information to third parties for their own unrelated marketing purposes.

We do not use your uploaded images or personal inventory information to train public AI models without your explicit consent, unless otherwise disclosed to you and permitted by applicable law.

4. How We Share Information

We may share information in the following circumstances:

Service Providers

We may share information with companies and service providers that help us operate Valhista, including providers for:

  • Cloud hosting and database services
  • Authentication
  • File and image storage
  • Artificial intelligence and image processing
  • Address lookup and geocoding
  • Payment processing
  • Subscription management
  • Security and fraud prevention
  • Customer support
  • Analytics, diagnostics, or error monitoring

These providers receive information only as reasonably necessary to provide their services to Valhista.

Payment Processing

Paid subscriptions may be processed through Paddle, which may act as the merchant of record for applicable transactions. Payment information may be collected and processed by Paddle according to its own privacy practices and applicable payment requirements.

Valhista does not need to store your full payment card number to provide the Service.

Legal Requirements and Safety

We may disclose information if we reasonably believe disclosure is necessary to:

  • Comply with applicable law, regulation, legal process, or governmental request
  • Protect the rights, property, or safety of Valhista, our users, or others
  • Detect or prevent fraud, security incidents, or illegal activity
  • Enforce our Terms of Service or other agreements

Business Transfers

If Valhista is involved in a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar transaction, information associated with the Service may be transferred as part of that transaction, subject to applicable law.

With Your Direction

We may share information when you specifically request or authorize us to do so.

5. Third-Party Services

Valhista relies on third-party providers to operate portions of the Service. These may include:

Lovable Cloud: Used for hosting, database, authentication, and file storage services.

Nominatim / OpenStreetMap: Used for certain address autocomplete and geocoding functionality. Address information submitted through these features may be sent to the applicable public API.

Google OAuth: If you choose to sign in using Google, authentication information is processed through Google’s services and is subject to Google’s applicable privacy policies.

Paddle: Used for payment processing, subscription management, invoicing, tax handling, and related merchant-of-record services.

AI and Data Providers: Used to process images, descriptions, property information, and other information necessary to provide AI-powered identification, organization, valuation, and estimation features.

Third-party providers may change as Valhista’s Service develops. We may update this Privacy Policy when material changes are made to the services we use.

6. Data Storage and Security

We take reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, disclosure, alteration, or destruction.

Depending on the Service and the information involved, these measures may include:

  • Encrypted connections such as HTTPS
  • Authentication controls
  • Access controls
  • Database security measures
  • Secure session and authentication mechanisms
  • Restricted access to information where reasonably necessary

No method of transmitting or storing information is completely secure. Therefore, while we take reasonable measures to protect your information, we cannot guarantee absolute security.

You are responsible for maintaining the confidentiality of your account credentials and for notifying us if you believe your account has been accessed without authorization.

Valhista may use browser storage, local storage, cookies, or similar technologies that are necessary to operate the Service.

We do not use tracking cookies for third-party advertising.

Third-party services used by Valhista may independently use cookies or similar technologies according to their own policies.

Depending on where you live and applicable law, you may have rights regarding your personal information.

  • Delete individual assets from your inventory
  • Delete your account
  • Request deletion of personal information
  • Request an export of your inventory information
  • Request correction of inaccurate information
  • Request restriction of certain processing where applicable
  • Object to certain processing where applicable

We may need to verify your identity before completing certain requests.

Some information may be retained when required by law or when reasonably necessary for security, fraud prevention, dispute resolution, legal compliance, or other legitimate purposes permitted by applicable law.

9. Data Retention and Account Deletion

We generally retain your account and inventory information for as long as your account remains active or as reasonably necessary to provide the Service.

If you delete your account, we will take reasonable steps to delete or de-identify your personal information within approximately 30 days, subject to:

  • Legal or regulatory requirements
  • Fraud and security prevention
  • Dispute resolution
  • Enforcement of agreements
  • Required financial or transaction records
  • Technical backups that may take additional time to be overwritten

Certain information may therefore remain in limited systems for a longer period where reasonably necessary for these purposes.

10. Children’s Privacy

Valhista is not directed toward children under 13 years of age.

We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without appropriate authorization, we will take reasonable steps to delete that information.

If you believe a child under 13 has provided personal information to Valhista, please contact us.

11. Information You Should Not Upload

Valhista is designed to help users organize and understand information about their belongings and property.

You should not upload information that you are not authorized to provide or information that is unnecessarily sensitive for the feature you are using.

For example, unless specifically required for a particular feature, you should avoid uploading:

  • Passwords
  • Financial account credentials
  • Government identification numbers
  • Highly sensitive personal records
  • Information belonging to another person without their authorization

You should also exercise care when photographing areas of your home or property and avoid including unnecessary personal information in uploaded images.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time as Valhista’s Service, technology, or legal obligations change.

When we make material changes, we may provide notice through the Service, by email, or by another reasonable method.

The updated Privacy Policy will include a revised effective date.

Your continued use of the Service after an updated Privacy Policy becomes effective means that you acknowledge the updated policy, to the extent permitted by applicable law.
